Solutions Business Consulting ("Solutions", "we", "us", or "our") is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and all applicable South African privacy legislation.

This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and your rights as a data subject.

1. What Information We Collect

We collect personal information only when you voluntarily provide it to us through our website or services:

• Contact enquiries: your name, email address, WhatsApp/phone number, and the details of your business challenge.
• Purchases: your name, email address, and payment reference number. Payment card details are processed entirely by PayFast and are never stored on our servers.
• Newsletter subscriptions: your email address only.
• Business Starter Pack onboarding: business name, ID/registration details, director information, preferred domain name, and other details needed to register your company.
• Consulting sessions: business information you share during sessions is treated as strictly confidential.

We do not collect sensitive personal information (as defined in POPIA) such as race, health status, biometric data, or criminal records.

2. How We Use Your Information

• To deliver the products or services you purchased — including sending template download links and booking confirmations.
• To respond to your enquiries and provide consulting support.
• To send payment receipts and order confirmations.
• To send the weekly business tips newsletter (only if you subscribed; unsubscribe at any time).
• To register your company at CIPC, SARS, and other bodies on your behalf (Starter Pack clients only, with your explicit consent).
• To improve our services and website based on usage patterns (no personally identifiable data is used for this).

We will never sell, rent, or trade your personal information to third parties for marketing purposes.

3. Third Parties We Share Data With

We use a small number of trusted third-party services to operate our business:

• PayFast (payfast.co.za): processes all payments. Your payment details are governed by PayFast's Privacy Policy.
• FormSubmit (formsubmit.co): delivers your contact form submissions to our email inbox. No data is stored permanently by FormSubmit.
• Google Fonts (fonts.googleapis.com): loads our website fonts. Google may log your IP address per their Privacy Policy.
• Calendly (calendly.com): manages booking appointments. Governed by Calendly's Privacy Policy.

These third parties are engaged under data processing agreements and are bound to process your information solely for the purposes described above.

4. Data Retention

• Financial transaction records (payment confirmations, order logs): retained for 5 years as required by the Companies Act and SARS record-keeping rules.
• Contact enquiries (contact form submissions): retained for 12 months.
• Newsletter subscriptions: retained until you unsubscribe.
• Starter Pack client records: retained for 5 years from the date of service delivery.

5. Data Security

We implement reasonable technical and organisational measures to protect your personal information, including:

• HTTPS encryption on all pages.
• Obfuscated file names for template downloads to prevent unauthorised access.
• Access-controlled server hosting with restricted admin access.
• Payment logs are stored server-side only and are never accessible via the browser.

While we take all reasonable precautions, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security.

6. Cookies

Our website uses only functional, session-based browser storage (sessionStorage) to remember your shopping cart and order details during a visit. This data is cleared automatically when you close your browser tab. We do not use tracking cookies or third-party advertising cookies.

Google Fonts loads from Google's servers, which may set a cookie per Google's own policy.

7. Your Rights Under POPIA

As a data subject, you have the right to:

• Access — request a copy of the personal information we hold about you.
• Correction — ask us to correct inaccurate or incomplete information.
• Deletion — request that we delete your personal information, subject to our legal record-keeping obligations.
• Objection — object to processing of your information for direct marketing purposes.
• Complaint — lodge a complaint with the Information Regulator of South Africa at inforeg.org.za if you believe your rights have been violated.

By accessing this website or purchasing any product or service from Solutions Business Consulting, you agree to be bound by these Terms of Service. Please read them carefully.

1. Who We Are

Solutions Business Consulting is the trading name of Solutions Biz Advisory (Pty) Ltd, Registration Number 2026/267343/07, registered with the Companies and Intellectual Property Commission (CIPC) on 31 March 2026. We provide business consulting services and sell digital business document templates to South African micro entrepreneurs and small businesses. Our registered office is located at 892 Darling Street, Waverley, Pretoria, Gauteng, 0186.

2. Digital Products (Templates)

• All templates are sold as digital downloads in Microsoft Word (.docx), Excel (.xlsx), or PowerPoint (.pptx) format.
• Upon confirmed payment, download links are delivered to your email address automatically and remain active indefinitely.
• Templates are licensed for single-business use. You may customise them for your own business but may not resell, sublicense, or distribute them to third parties.
• Templates are provided as starting points and guides. They are based on current South African legislation but do not constitute legal advice. For specific legal matters, consult a qualified attorney.
• Solutions makes reasonable efforts to keep templates current with legislation, but cannot guarantee they reflect the most recent amendments at all times.

3. Consulting Services

• All consulting sessions are conducted via video call (Zoom or Google Meet) or in person in Pretoria, Gauteng.
• Sessions are booked through our online calendar after payment is confirmed.
• A 24-hour cancellation notice is required to reschedule. Sessions cancelled with less than 24 hours' notice may be forfeited at our discretion.
• The Growth Plan retainer runs month-to-month. You may cancel with 30 days' written notice to info@solutionsbiz.co.za at any time.

4. Business Starter Pack

• The 14-working-day delivery timeline commences from the date you submit the completed onboarding form — not from the date of payment.
• Timelines may be extended if required information is not provided promptly, or if CIPC, SARS, or other government portals experience delays beyond our control.
• You are responsible for ensuring all information provided in the onboarding form is accurate and truthful.

5. Payments

• All prices are quoted in South African Rand (ZAR) and are inclusive of VAT where applicable.
• Payments are processed securely via PayFast. We accept EFT, credit/debit card, and Ozow through PayFast's platform.
• Subscription payments (Growth Plan) are billed automatically on the same day each month by PayFast's recurring billing system.

6. Intellectual Property

All content on this website — including text, graphics, template designs, code, and branding — is the intellectual property of Solutions Business Consulting. You may not copy, reproduce, or distribute any part of this website without our written permission.

When you purchase a template, you receive a licence to use it for your business — you do not acquire ownership of the template itself.

7. Disclaimer of Warranties

Our templates and consulting services are provided "as is" and are intended as practical guidance tools. Solutions Business Consulting does not warrant that use of our products will achieve any specific legal, financial, or business outcome. We strongly recommend consulting a qualified attorney, accountant, or other professional for legal or financial decisions.

8. Limitation of Liability

To the maximum extent permitted by South African law, Solutions Business Consulting shall not be liable for any indirect, incidental, consequential, or special damages arising from your use of our products or services. Our total liability to you shall not exceed the amount you paid for the specific product or service that gave rise to the claim.

9. Governing Law

These Terms of Service are governed by the laws of the Republic of South Africa. Any disputes arising from these terms shall be subject to the jurisdiction of the courts of Pretoria, Gauteng.

10. Consumer Protection Act (CPA)

Customers who qualify as consumers under the Consumer Protection Act 68 of 2008 retain all rights afforded to them under that Act. Nothing in these Terms waives or limits your rights under the CPA.

11. Changes to These Terms

We may update these Terms of Service from time to time. The "Last updated" date at the top of this page will reflect the most recent revision. Continued use of our website or services after an update constitutes your acceptance of the revised terms.

Digital Templates

Because our templates are digital products that are delivered immediately upon payment, all template purchases are final and non-refundable once the download link has been accessed. This is consistent with Section 44(2)(c) of the Consumer Protection Act, which excludes digital content from the standard return right once delivery has commenced.

Consulting Services

Consulting session fees are non-refundable once a session has taken place. If you are unsatisfied with a session, please contact us — we are committed to making it right.

For the Growth Plan retainer, the current month's fee is non-refundable after billing. Future monthly charges will stop after you submit a cancellation request.

Business Starter Pack

Starter Pack fees are non-refundable once work has commenced (i.e., once the onboarding form has been submitted). If work has not yet commenced and you request a refund within 48 hours of payment, we will consider a full or partial refund at our discretion.
